This policy describes what personal information the platform holds, why, and the choices you have. It is a template for the design phase and will be finalised with the university before launch.
1. Scope
This policy explains how the Intelligent Tutoring System handles personal information when it is used for university teaching and learning. It covers students, lecturers and administrators. It is written to align with the Nigeria Data Protection Act and its regulations.
2. Information we collect
- Account information: name, email address, role and account status.
- Profile information: department or programme, level of study and learning interests.
- Learning activity: lesson progress, questions attempted, assessment responses and scores.
- Guidance data: concept mastery estimates, recommendations and the reasons for them.
- AI tutor conversations: your questions and the grounded answers returned.
- Support and security records: tickets, sign-in events and session activity.
3. Purpose of each category
- Account and profile information is used to give you access to your assigned courses.
- Learning activity is used to show progress and to generate guidance.
- Assessment data forms part of your academic record.
- AI conversations are used to answer your course questions and to let lecturers review reported answers.
- Security records are used to protect accounts and investigate misuse.
4. Data minimisation
We collect only what is needed for the purposes above. The AI tutor is not sent your name, email, matriculation number or other unnecessary identifiers. Assessment answers and official grades are never sent to third-party AI services.
5. Legal basis and consent
Processing of your academic record rests on the university’s legal and contractual obligations. Optional features, such as AI personalisation, rest on your consent. We record the version and date of each consent, and you can withdraw consent for optional features at any time in your privacy settings.
6. Your rights
- Access a copy of your personal information.
- Correct information that is inaccurate.
- Request deletion where there is no overriding obligation to retain it.
- Restrict or object to certain processing.
7. Making a request
Signed-in users can raise access, correction and deletion requests from privacy settings. The administration team acknowledges requests and responds within the statutory period. Access to sensitive academic records is logged.
8. Retention
Assessment results and feedback are retained as part of the academic record. AI tutor conversations are retained for a limited period and can be deleted earlier by you. Authentication logs and support records are retained only as long as needed for security and service purposes. Specific periods are published in the platform’s retention schedule.
9. Changes to this policy
When this policy changes in a way that affects you, we will notify you and, where consent is the basis for a feature, ask you to review it again.
